Today I am starting something a little different and new on the Alexandra Lee blog. I know so many amazing vendors, or as I like to call them, friendors! They are all crazy talented and great friends to have! I thought it would be super helpful to my brides and future brides to have them answer common questions and topics. Today, I am featuring Olivia Nicoletti of Olive Fine Weddings & Events. She will be talking about the 5 reasons why you need a day of wedding planner.
5 Reasons You Need A Day of Coordinator – Guest Post by Olivia Nicoletti
This is a question I get asked a lot! “I already have a venue coordinator, why do I need someone else?” “What do you do exactly?” “Can’t my mom and bridesmaids just do all of this stuff?”
As a wedding planner (who hired a day-of coordinator for my own wedding!), I have seen it all, and am thrilled to share my thoughts on this:
First off, your family (and you!) should be enjoying the day, not stressing. Consider your coordinator your confidante and problem-solver. We work with the bride and groom, as well as their families and bridal parties to make sure everyone is taken care of, lined up before the ceremony, and that all of the precious family details find a home. Your mom shouldn’t be the one coordinating with the caterer to make sure dinner comes out right at seven o’clock.
Second, you’ve hired amazing vendors to make your wedding perfect, and they should be free to focus on their expertise. Photographers and caterers have seen it all, but wouldn’t you rather they focus on getting the perfect shot of you and your dad walking down the aisle, or organizing staff so all of your food comes out piping hot instead of constantly checking and re-working the timeline day-of? Coordinators work directly with all of your other vendors so that their needs are met, while staying true to your preferences.
Further, you probably have quite a few vendors and / or friends working your day, and if someone is running late, can’t find where you’re getting ready, or wants to talk through the timeline the day before your wedding, they should have a designated contact whose sole job is to champion the details of your big day. Day-of coordinators work seamlessly with everyone from your venue coordinator to confirm that your tables are set up exactly as you envision them, to your MOH or Best Man, handing them a microphone for their perfect speech.
Also, we, as coordinators, are professionals: this is our passion, but also our job. We have expertise working with weddings and events of all shapes and sizes, and are able to spot problems and anticipate questions before they ever get to you. Coordinators customize a detailed timeline for each couple, sharing it with vendors a few weeks before your wedding so that all details can be ironed out before the big day even begins!
And finally, and most importantly, we want you to be present on your wedding day. No matter how much of a planner you are, you should be able to hand off your phone and all of the responsibilities to your coordinator – you only get this day and these moments once. Soak them in, and let us make sure the logistics are flawless.
Having a day of coordinator can really help make your day go smoothly. If something happens, they are there to help in a pinch without you having to worry. All you need to worry about is having fun! 🙂
If you’re still on the fence, I would highly recommend hiring one!
“Hi, I’m Olivia, the owner and Lead Planner of Olive Fine Weddings & Events! I am passionate about creating the perfect event to highlight the extraordinary love between two people. I graduated from Cornell University and my career began in consulting, where I learned how to think critically, be direct, and adapt to clients. These skills have transformed my working style. I moved onto nonprofits and events next, and although I have worked in a variety of roles, weddings are what make my heart glow. Weddings are meaningful, festive, fun, silly, nerve-wracking, raw, emotional, but most of all, joyful. I especially enjoy weddings that are chock full of details – sometimes, small things can elevate an event and make the couple’s personalities shine.”
